00:00:00 Greetings. Today, we're going to go into the PAC Tool and export a volunteer service assignment schedule for one particular stake, so that they can be shared with the stake president and high counselor or anybody else who's been delegated the assignment to make sure that the VSA's are properly assigned to the units and delegated out. So, find your link to the PAC Tool.
00:00:30 and go into the PEC tool. You will find your assignments here hopefully. You can
00:00:38 change your view if you want, but I'm not going to change the view. I'm just
00:00:43 going to scroll down to the bottom and go to the Tucson temple just for the
00:00:48 purposes of this video. When you click on this tab up here, the volunteer service
00:00:53 the time that you will have the entire schedule for the VSA's for that operation.
00:01:02 You'll notice that this start date, we can expand any of these columns to make them larger, but
00:01:10 the start date is set up to solar from older to newer. That puts everything in chronological order,
00:01:17 and we want that. If you wanted to share a spreadsheet with the temple or other operation,
00:01:23 You can click over here on the more menu, three dots,
00:01:27 and click on Export, Volunteer Service Assignment,
00:01:31 and then it will put it in your download folder.
00:01:34 And you can do that.
00:01:35 For the purpose of this video, we're
00:01:38 going to focus on exporting it for one stake.
00:01:43 So you click on the stake dropdown and go filter by,
00:01:47 and then type in the name of the stake.
00:01:49 And as you type, it will find the stakes that begin with the letters that you type.
00:02:00 We're going to pick the Ringcon stake here, stay and click Apply.
00:02:04 And that's how simple it is to create the schedule for the particular stake.
00:02:10 Now for sharing purposes, we want to go over here to the 3.0 More menu, click on Export
00:02:17 for volunteer service assignments, and then it will download it.
00:02:24 Now, up here in Chrome, it has a little down arrow for the download folders,
00:02:31 and you can see what you've downloaded.
00:02:33 You can click the download full history.
00:02:36 You can also, in all browsers,
00:02:38 hit Ctrl J and it will list what you've downloaded.
00:02:43 I'm going to click on the top one, which is the most recent one,
00:02:45 and open it up in my file manager, and there's the one that I just downloaded
00:02:52 most recently right here. The one below it is the one for the whole
00:02:57 temple. This is just the Rincon Steak, and I am going to rename this. I am going to
00:03:06 call this BSAs Tucson Temple, Rincon Steak, and I think it's good to keep
00:03:19 a date in case you give them multiple versions. So I'm going to put a date here,
00:03:25 await 16, and I'm going to save that. Now we're going to need to upload that
00:03:33 file to Excel. So we're going to go back to your browser, and I'm going to close
00:03:44 this download history and I'm going to open a new tab and I'm going to put it in
00:03:53 Excel and I'm going to go to excel.cloud.microsoft and I'm going to I needed to put
00:04:06 HTTPS again, excel.cloud.microsoft.com and I probably forgot to put the dot com. This will bring
00:04:24 up Excel in your account in the church. If you're not logged into the church account,
00:04:29 you need to log in. And then you're going to upload that file. It's in downloads because
00:04:38 because that's where we put it.
00:04:40 This is the one I just renamed.
00:04:42 I'm gonna say open that.
00:04:44 And then it'll allow you to edit it in Excel online.
00:04:51 One of the first things that I do
00:04:54 is that I want to expand these,
00:04:58 especially the first column.
00:05:00 You can do it manually,
00:05:01 but I just usually highlight corner to corner.
00:05:04 and then I go up into, I use the classic ribbon. I always show the ribbon. I like
00:05:17 seeing the ribbon here, but anyway, now that I've got the table highlighted, I go
00:05:21 into format, a auto fit come with, and then it makes it fit here. Now, you'll
00:05:28 Notice that this says name here. I personally think it makes more sense but
00:05:35 dates. And so you can do that. You can change the headings of any of these. Most
00:05:41 of these things are pretty self-explanatory. These last two columns submitted and
00:05:45 active don't mean anything to them. So what I might do here, highlight that
00:05:51 column and just say delete that column. I don't need it. Now with column L, what I'm
00:05:57 I'm going to do here, I'm going to expand it a little bit, and then I'm going to right-click
00:06:02 on this.
00:06:03 I'm going to highlight the column, and I'm going to right-click on it, and I'm going to
00:06:07 clear the contents.
00:06:08 Then I'm going to give it a new name called Assigned Unit.
00:06:12 I want this column to be used by the stakes, or at least given the opportunity to use by
00:06:18 the stakes, to put in the name of the Warder branch that is assigned to the particular unit,
00:06:23 it, that particular item on that schedule. Now, you've done that. Now, anything that you
00:06:31 have done online, it automatically saves it, but it automatically saves it in the cloud.
00:06:38 You can click the share button, but I prefer to export this to a file, and so I say create
00:06:49 create a copy or export. But I say create a copy and I want to download it. I don't want
00:06:56 it online. I want to download it so that it's easier to share. And then that puts it in
00:07:02 the download directory. So if I come down here and it actually saved it, but it gave it a
00:07:09 little one here indicating that this has been edited. And you can rename that again however
00:07:15 you want. But then if when the recipient gets this, they will see the edits that you made.
00:07:23 And this is the file that you can attach the attachment to an email. But if you're editing
00:07:32 online, it's a little bit different than if you have the Excel app on your computer.
00:07:42 But most SMCs do not have a license to use Excel on the computer, they just use
00:07:49 the online version. That's how easy it is to share. Now if I go back to the Tucson
00:07:58 Temple, then I can go to stake, drop down, clear filter. Now I have all the stakes in
00:08:05 there. And then I can say filter by and then I can put in, you know, another thing. And if
00:08:12 you type any letter, it'll list all of the stakes that have that letter in it. And we'll
00:08:17 all of these stakes have a in it. So you can then go to the marana stake and say apply and
00:08:23 then export that one. And you can share it easily. And I hope that's been instructive
00:08:29 for you to be able to export into a shareable excel spreadsheet file for one particular
00:08:38 and I'll talk to you later. Bye!
